07 April 2005 MEETING REPORT

Meeting opened at 4:00pm

Topic: Officer Reports
Courtney reported Brenda Gunn had agreed to conducting a Career Forum, but that she needs to confirm what Brenda will actually cover in the forum. She also reported that previous years' membership lists have been retrieved from old SAA-UT web pages on the Internet Archive.

Kerri handed in a SAA-UT financial report for 2004. April commended the report, but asked Kerri if she could work on it and provide a clearer picture of the Board's financial standing.

Stephanie recounted the success of the Board's entry in the Edible Book Festival. The Board's book was bought for $100 by Dr. Gracy. April thanked Stephanie and Courtney for putting the book together.

Ben reported that Dr. Doty's 2004 Archives Week speech had been encoded in HTML and displayed in that format on the SAA-UT website. Megan reported that she had been adding events and minutes to the website, while trying to keep styles and fonts uniform. A website overhaul has been planned for the summer.

April reported sending out more reminders for the potluck at Dr. Gracy's. She also urged everyone to keep thinking about a venue for the Journal Club. April has not heard from Kris Keisling on an EAD workshop yet, but she felt it might be best to hold something like this next Spring. The Co-Op Video Marquee is free if the Board would like to advertise on it. The Board would just need to get their advertising designs in to the Co-Op with a few weeks lead time, and adhere to a few design specifications. April also reported that SZB 556 has been firmly scheduled for Brenda's Career Forum, and she suggested that once the topic has been finalized the Board could send out flyers. April asked Stephanie to arrange for refreshments at the forum.

Topic: Archives Week 2005
Archives Week has been set for October 31st-November 5th, 2004. The annual Archives Clinic will be held in the Mayor's Room of the Austin History Center on November 5th. April suggested that we start letting PCS students know about the Week and the Clinic.

The faculty publications display case (next to the faculty directory on the 5th floor of SZB) has been reserved for Archives Week promotion/advertising once we have settled on an idea for Archives Week's focus. April opened up the floor for suggestions.

Courtney suggested a Fine Arts in Archives. It was noted that the new Blanton Museum might be interested in participating in something like Courtney's idea. Another suggestion brought up was a Film and Archives idea, with the Austin Film Society a valuable resource. That society has conducted film restoration projects in the past. Forgeries and Archives could be another possibility.

Ben asked for thoughts on what people would be interested in hearing. It was agreed that we need more ideas that address this question for next meeting. Ideas for speakers were encouraged as well.

Dr. Gracy suggested the Board members look at the regional and national SAA conferences for ideas on programming. April added that all ideas can be communicated/bounced around on the Board listserv.

Topic: First Chapter-Wide Meeting
This will be a good opportunity for SAA-UT members to meet the Board members and provide ideas on what we can do for them. April suggested April 21st at 4:00pm as a meeting time. It was agreed that our first chapter-wide meeting would be held on that time.

Topic: Fundraising
Expanding on previous suggestions, some ideas that were suggested by the Board as possibilities for fundraising included:

Ben asked what rights we have to reproduce the SAA logo on fundraising items. Dr. Gracy suggested contacting SAA for information on that subject.

It was noted that if we find 2 suitable fundraising items, then we can tailor one towards the iSchool and one towards SAA.

Topic: ARMA's Shred Day
April was approached by an ARMA (American Records Management Association) representative to participate in ARMA's Shred Day. She added that we can help advise people on what they can keep and what they can safely destroy. Shred Day will be held on April 16th, 8am-2pm at Austin High School.

Topic: Spendable Money
April reported that SASI has allocated $179 for the Board's use, and GSA has allocated $93.60. The money must be spent by the end of the semester. Stationery will be too expensive for these resources to cover. Kerri suggested purchasing an embosser that can be used for severaly types of Board communication. April suggested repairing the Archives Week banner. It will cost approximately $60. It was agreed that the Board should take care of this repair sooner or later, leaving the funds' total to approximately $200. Zach suggested purchasing some kind of filing system for the Board's records. Kerri was assigned the task of pricing banner options, while Zach was assigned the same task regarding filing systems.

April asked all the Board members to continue thinking of ideas for:

Courtney will keep attempting to have Brenda Gunn finalize her forum topic.
