4 September 2003 MEETING MINUTES

Next Meeting: Wednesday 10 September 2003

Present: Daniel Alonzo, Catherine Stollar, Aubrey Carrier, Ron Drees, Dr. David Gracy, Cherie Baker.

Daniel called the meeting to order at 11:40 a.m.

I. Archives Week 2003

A. Speakers

* Daniel would like Keith Watenpaugh to change his speaking date to Thursday (30 October) of Archives Week.
* Dr. Gracy will decide which evening to make his own speech based on the Freshman Seminar schedule.
* Catherine will contact Dana DeBeauvoir and Kris Kiesling as possible local speakers.
* Cherie will contact an archivist from Lone Star Council, in association with the Girl Scouts.
* Ron suggested that we contact a local religious archivist, and Dr. Gracy proposed organizing a panel of religious archivists for Spring 2004.

B. Fundraising

* SASI will grant us $300 for publicity, and the Department of Middle Eastern Studies is also interested in donating funds. Daniel will approach the Political Science Department and the Student Government for additional sources of support.
* Ron presented 2 drafts of the fundraising letter.

C. Publicity

* The dates on last year’s banner will need to be changed to reflect this year’s schedule. Officially, Archives Week 2003 will run from Sunday 26 October to Saturday 1 November.
* UT-SAA will be able to use SASI’s account at University Duplicating Services to print posters and flyers.
* We will need to obtain permission to use images from the New York Times and/or National Geographic in our publicity posters. Catherine will contact the Times about the Iraqi prison records photograph.

II. T-Shirts and Mugs

* Cherie has found a company, Texas Tees, that will produce shirts with the “Archives in Many Languages” design for a reasonable price. T-shirt sales may be postponed to Spring 2004.
* Mugs have been ordered from Norwood, and Ron is checking on their status. Due to miscommunication over the mug order, Daniel recommended that it would be easier to give next year’s board sole responsibility for handling next year’s mugs.

III. Administrative Odds & Ends

* Cherie has been experiencing technical difficulties with the website, but hopes to resolve these soon.
* Cherie also reported that the new student orientation went well; several new students are interested in the Archives program and in UT-SAA.
* Daniel suggested locating the old SAA handbook and updating it.

IV. Post-Archives Week Events

* Dr. Gracy suggested Laurie Baty from the Holocaust Museum as a possible speaker for later in the fall, and Suzy Mackland, from the Association of Certified Archivists, for the spring.
* Daniel suggested recognizing the archiving of extremist groups in the U.S.
* The board will look into putting together a panel of religious archivists for later in the fall or next spring.
* The officers are interested in reviving the Mexico trip, and will work on selecting a date.

V. Next Meeting

* The next meeting will be held Wednesday 10 September at 12:00 noon in SZB 556. It is technically a board meeting, but will be open to anyone interested.

Daniel adjourned the meeting at 12:50 p.m.
