15 October 2003 MEETING MINUTES

Next meeting: Wednesday, 22 October 2003

Present: Steven Cooper, Mary Anne MarDock, Dr. David Gracy, Aubrey Carrier, Shelley Aggeler, Vanessa Cameron, Catherine Stollar, Jennifer Madden, Daniel Alonzo, Kyong Lee, Ron Drees, Anne Simmons.

Daniel called the meeting to order at 12:17 p.m.

Operation Campus Blanket

* The Chapter has printed several hundred Archives Week publicity flyers. Volunteers will systematically distribute these on Friday or over the weekend, schedules permitting
* Volunteers planning to distribute flyers on Friday the 17th should meet at 11:00 a.m. at the iSchool IT lab.

Publicity

* Catherine has contacted local television stations and is waiting for replies. In the meantime, she will mail out hard copies of our press release to the stations.
* Aubrey has sent our information to the iSchool calendar and the “Around Campus” column of the Daily Texan. Since she has still not heard back from the Office of Public Affairs, she will send the press release directly to local print and radio media.

Reception Refreshments

* Catherine volunteered to coordinate the refreshments for Keith Watenpaugh’s reception on October 30.

Archives Week 2003 Website

* Steven has completed work on the website, which is currently available at http://www.gslis.utexas.edu/~saa/archivesweek

Declaration of Independence Tour

* Dr. Gracy suggested coordinating with Betty Sue Flowers, Director of the LBJ Library, to link the Declaration of Independence tour with Archives Week.

Exxon/Mobil Archivist

* Daniel is waiting to hear back from Brenda Gunn on whether or not the Exxon/Mobil corporate archivist will be able to speak during Archives Week.

Post-Archives Week Activities

* Daniel suggested considering a new meeting time and location once Archives Week is over.
* He is also interested in documenting our Archives Week 2003 activities and drafting an action plan for next year’s board.

Daniel adjourned the meeting at 12:39 p.m.

Next Meeting

* The next meeting will be held Wednesday, 22 October at 12:15 p.m. in SZB 556.
