17 September 2003 MEETING MINUTES
Next meeting: Wednesday, 24 September 2003
Present: Jennifer Madden, Christina Thomsen, Aubrey Carrier, Ron Drees, Jake Cleary, Holly Fulkerson, Shelley Aggeler, Daniel Alonzo, Brandon Burke, Catherine Stollar, Steven Cooper, Lisa Boettrich, Anne Simmons, Kyong Lee, Cherie Baker.
Daniel called the meeting to order at 12:05 p.m.
I. Archives Week 2003
A. Speakers
* Steve Mielke, the archivist for the Woodward and Bernstein Papers at the HRC, has agreed to speak the evening of Monday, 27 October. Catherine will check if the HRC auditorium is available for the presentation.
B. Fundraising
* On Friday, 12 September Ron mailed the fundraising letters, printed on SAA
letterhead that Daniel designed.
* Daniel met with the Student Government appropriations officer for information
about SG funds.
* The Center for Middle Eastern Studies is granting us $300 for general expenses.
* Mugs are on the way and should be here in a week and a half.
C. Publicity
* Use of the New York Times photo will be $200, and we will have to send a
mock-up of the poster to the Times for approval. The Chapter agreed to allocate
some of the publicity money for this purpose.
* The Chapter will be able to use SGs copy machine free of charge to print
flyers, but will have to bear the cost of the paper.
* Brandon suggested taking out ads in local papers if they show little or no
interest in our press releases.
* Steven suggested using the UT Office of Public Affairs as a liaison for submitting
press releases and sending information e-mails to the campus community.
* Steven also offered to design the website for Archives Week 2003.
* Our goal for posting events announcements to archives-related listservs is
Wednesday, 1 October.
* Archival Outlook published our press release, although the dates for Archives
Week are incorrect (Oct. 25-Nov. 6).
* At Catherines suggestion, the Chapter agreed to change the theme of
Archives Week 2003 to Shock and Awe: Archives and the Political Process
in order to better fit the speakers topics.
* Ron proposed sending announcements about the Mielke presentation to Watergate-related
websites.
D. Archives Clinic
* Daniel suggested that the Archives Clinic focus on the preservation of digital
photographs. We will contact Dr. Galloway for her input.
* Brandon will look into getting conservation supplies such as gloves and sample
acid-free boxes for display at the clinic.
* Cherie gave a description of last years clinic for those of us who were
not there.
II. Non-Archives Week Events
* The date of the PCS Mixer has been changed to Thursday, 9 October.
* Shelley reported that Dr. Gracy has agreed to give a tour of the state capitol;
date to be announced.
* Aubrey invited everyone to the grand opening of the Pearce Civil War Museum,
which will take place Saturday, 11 October at Navarro College in Corsicana,
TX. The archivist, Julie Holcomb, is a graduate of our program.
Daniel adjourned the meeting at 12:40 p.m.
III. Next Meeting
Although not formally announced, the next meeting will be held Wednesday, 24 September 2003 at 12:00 noon in SZB 556. Everyone is welcome to attend.
